Fitness studio questions

Can I …? Asked by instructors.

Ten Reformer beds and eleven people who want one, a 6:30am HIIT that fills the night before, members who want to pay once a month and just turn up. Here is how NextSlot runs a fitness studio — each answer shown on your side of the front desk and on your client’s phone.

Classes and spaces

Every space filled, and fairly.

Can I cap each class at the number of bikes or beds I have?

Yes. Every class has its own number of spaces — ten on Reformer Pilates, twenty on Rhythm Ride — and NextSlot stops taking reservations the moment the last one goes. We set your classes up with you when you join.

Clients see what is left on every class before they pick it — “5 spaces”, “1 space”, “Full” — and your class list shows who is coming, ready to check them in at the door.

Can clients join a waitlist when a class is full?

Yes. A full class offers its waitlist instead: “This class is full — join the waitlist and we’ll let you know if a space opens.”

When someone drops out, the next person on the list gets the space straight away. Free classes, and classes paid at the studio, book them straight in and tell them. A class paid online up front gives them an hour to claim it and pay, then it goes to the next person.

What do clients see when they look for a class this week?

They pick a class, then their instructor or “Don’t Mind”, and see the week as a strip of seven days, each showing how many classes are on. Tap a day and its classes appear, each marked with the spaces left or “Full”.

Arrows move them a week at a time, as far ahead as you allow — anywhere from 1 to 52 weeks. It all fits on a phone, so the 6:30am HIIT gets booked from the sofa the night before.

Packs and memberships

Paid up front, booked in a tap.

Can I sell class packs?

Yes. Sell packs of classes bought up front at a discount — five, ten or twenty — straight from your site, each with its own price and, if you like, an expiry. Set each class’s credit cost, or let its length decide.

Credits sit on the client’s account and, once they have confirmed their email, are used automatically when they book: “Using 1 class credit (4 left).” Sold a pack for cash at the desk? Grant the credits from your dashboard.

Can I run monthly memberships?

Yes. Name the plan, set the price, choose monthly or yearly and tick the classes it covers. Once you take payments through NextSlot, the Stripe side sets itself up.

Members book their covered classes with nothing to pay — the booking page tells them “Covered by your membership — no charge.” They can see their membership and cancel it themselves, keeping access until the end of the period they have paid for.

Can I use a code to fill my daytime classes?

Yes. Tie a code to the days and times you want to fill — weekdays between 9am and 3pm, say — and your early-morning and evening classes stay at full price.

When a client arrives through the code’s link, the classes that qualify are marked on the booking page, so they pick a quiet one without being asked. Pick a busy time and they are told the code doesn’t apply to it.

Before class

Before they walk in.

Can clients cancel or move their own reservation?

Yes. Every confirmation carries a link to manage the reservation. Clients move to another time with space, or cancel, whenever they like and without a message to you — and the space they free up is offered to the waitlist straight away.

Want a late-cancellation fee? Tell us the fee and the cut-off and we set it up with you. Clients save a card when they book, nothing is charged up front, and anyone cancelling after the cut-off is warned about the fee before they go ahead.

Will clients get a reminder before their class?

Yes, automatically — an email 12 hours before and a text 2 hours before, on whichever the client chose when they booked. For a 7:30pm Power Yoga, that is half seven in the morning and half five in the evening.

Texts only go out between 9am and 8pm, so nobody is woken up. Every confirmation also carries “Add to calendar” and “Get directions” buttons, and texts come out of your plan’s monthly allowance.

Can I ask clients to fill in a PAR-Q before they train?

Yes. Attach the ready-made PAR-Q to any session: seven yes/no health questions, a details box that only appears if someone answers Yes, and a box to confirm their answers are accurate. Clients fill it in as part of booking.

Choose whether a Yes blocks the booking or lets it through, flagged for you to review — and how long before a returning client is asked again. Twelve months is where you start.

Instructors and PT

Your instructors and their one-to-ones.

Can I offer one-to-one personal training alongside my classes?

Yes. 1:1 Personal Training sits in the same list as your classes but books like an appointment: one client, one instructor, an hour for £45. Clients pick their trainer and see that trainer’s real free times.

Only the instructors you choose for it are offered, and it lands in their calendar like any other booking. When we set you up, it comes with the PAR-Q health questionnaire already attached.

Can my instructors see their reservations in Google Calendar?

Yes, both ways. Every place booked with an instructor lands in their own Google Calendar under the client’s name and the class, and anything already in it — the school run, a physio appointment — blocks those times on your booking page, usually within 15 minutes.

Each instructor connects their own calendar, and client phone numbers are never copied into it.
